Position Summary:
The Data Acquisition Associate supports RE Tech’s sustainability data management and analytics work across 5-8 clients of varying sizes and levels of support by collecting, entering, validating, and maintaining accurate property‑level ESG and utility data. This role executes structured, repeatable data acquisition tasks within established processes and tools, with a strong focus on accuracy, completeness, and timeliness.

The Data Acquisition Associate works closely with internal teams and client property management contacts to ensure required data is obtained, maintained, and ready for downstream analytics, reporting, benchmarking, and assurance work. Success in this role is defined by execution quality, reliability, and adherence to standards - not independent decision‑making or process design.

Essential Job Functions / Job Duties and Responsibilities

  • Support property onboarding by coordinating with property management teams to gather essential information for each property across assigned portfolios.
  • Create, update, and maintain property‑level data in internal databases and tools, including ENERGY STAR Portfolio Manager to benchmark properties in accordance with established procedures.
  • Lead preparation for property manager ENERGY STAR Portfolio Manager training by coordinating across other departments to ensure presentation materials are updated.
  • Coordinate with property management teams and utility companies to collect utility data to be pushed directly to or update manually in ENERGY STAR Portfolio Manager.
  • Maintain utility data collection quarterly and annual for manual updated data from utility companies
  • Obtain, review, and validate building documentation to ensure alignment with data provided by property teams; follow up as needed to resolve gaps or inconsistencies.
  • Communicate with property teams and third‑party data vendors to collect required data and resolve routine questions.
  • Monitor data timeliness and quality, following up on missing, late, or inconsistent information on a regular basis.
  • Assist other departments with mass property management reach out by using mail merge.
  • Support routine data quality checks and corrections within defined workflows.
  • Complete uility data upload from invoices by using AI bill reading tools across several different properties at once.
  • Support the offboarding of properties after disposition by ensuring utility data is updated through the sell date and creating copies to ensure data is not lost after the sale.
  • Track time accurately and bill to appropriate job codes and labor categories.
  • Follow all company policies, processes, and documentation standards.
  • Escalate issues, edge cases, or process exceptions to Leads or Managers rather than resolving independently.
  • Perform other duties as needed and assigned.

  • Clear and professional written and verbal communication skills sufficient for routine coordination with property teams and internal stakeholders.
  • Working knowledge of ENERGY STAR Portfolio Manager or ability to learn quickly.
  • Growth mindset and openness to feedback and continuous improvement.
  • High standards of professionalism, ethics, and confidentiality.
  • Knowledge with online collaboration and file sharing tools, such as SharePoint and Microsoft Office Suite (MS Word, Excel, PowerPoint, Outlook, Teams).
  • Demonstrated ability to work in a primarily remote environment.

Required Education and/or Experience

  • Some professional work experience in data support (collection and entry), operations, administration, or a related execution‑focused role.
  • Some experience with organizational tools.
  • Some experience with presentations.
  • Experience with ENERGY STAR Portfolio Manager a plus, but not required.
  • Experience with utility data a plus, but not required.

Travel Requirements
This is a full-time remote position in the Dallas Fort Worth area as you are required to report to the office during onboarding and training, and periodically travel into the office for meetings, as needed.
